O. ~jlj!(J2t..f } JUDGE'S SIGN;:rurtE MEMORANDUM DATE: April 12, 1983 TO: Colleen Corcoran FROM: R. A. Yocom SUBJECT: Freshman Glee 1983; Your Memo of 3/15/83 Thank you for your memo concerning Freshman Glee. I am really sorry this reply has been delayed for so long. Your point with regard to seeking assistance from the Alumni Office is well taken. There were a number of reasons for this, a few of them even good ones, but--all in all--it was still inexcusable on the part of those of us who are informally involved in advising the group. We are in the process of organizing a schedule or time table with regard to Freshman Glee. They will have specific dates as to what should be done when and who should be contacted. One of the ideas we are coming up with is to establish a faculty/administrative advisory committee, consisting of three or four people (including the Alumni Office) so that we can do a better job in communication, budgeting, etc. Would you or a member of your staff be willing to serve on such a committee? We would probably not meet more than two or three times during the year but we would start meeting as early as October or November so that these things could be placed in your budget. Now that Freshman Glee has turned the corner and is once again becoming a viable, positive function, I am certain we will want our alumni to become even more involved in it. As you well know, Freshman Glee is one of those things that alumni always remember and look back on with some fondness. Now that it has been cleaned up, I anticipate more alumni will be attending. I am at a loss to explain what happened with regard to the reception. As I recall, I was there a little after 4:30 and the place was wide open and quite a few people were there. Evidently the time was incorrectly placed on some of our publications. We are indeed sorry about the situation. I have spoken to El Williams to see if there might possiby be some funds "left over" from his budget, knowing full well that your Alumni budget has been expended. Mailing the brochures for alumni came to $675 and, in the past, has been covered by the Alumni Office budget but I understand this cannot happen this year and for reasons that lie within the fault of the Freshman Glee managers and committees rather than in your area. 2 I hope having a member of your staff on the advisory board will enable us to anticipate the amount of assistance that Freshman Glee may be able to receive from the Alumni Office. Further, this may be able to be incorporated in your budget early enough that it can· be helpful to the Associated Students as well as Freshman Glee. Since Freshman Glee is such a positive feature at Willamette University, I think it is incumbent on the University to support it in any way we can. Tim Leary will be taking over as the official advisor effective next year, and I'm sure he will be looking forward to working with you. I, of course, will assist in any way I can. ElWilliams #io{..0' IA~m Leary MEMORANDUM TO : Buzz Yocom J\.1arch 15, 1983 Tim Leary FROM: Colleen Corcoran ~ RE: Freshman Glee 1983 Congr~tulations to both of you on the success of the 75th Glee. From what I have heard, the program was marvelous. Since I am not sure which of you actually "supervised" the students, I want to cover a base wi~~ each of you for what help it might be for the future. The students came over to us to get financial help exactly eight days before the event, instead of coming to see us in the initial planning stages)as we had, requested LAST YEAR. As you' are both aware, we are already way over budget because we helped with Parents' Weekend/Homecoming this past year. Secondly, sOme of our alums paid for and arrived for the Reception scheduled for 4 p.m. and found only locked doors and no activity -they waited until 4:30 p.m. to no avail. While they will consider the money they paid a donation, and don't want it back, they are concerned about the unfavorable PR such negligent behavior engenders. Please advise. CC/em MEMORANDUM _DATE: TO: March 9, 1983 FROM: R. A. Yocom SUBJECT: Freshman Glee Evaluation You are cordially invited to attend a dinner on Monday evening, March 14, at 5:15 p.m. in Dining Room 3 in Putnam University Center. All present and former Freshman Glee managers have been invited to attend. The purpose of this meeting is two-fold: (1) (Briefly) to evaluate' this year's Freshman Glee. (2) To set up a timetable as to what future Freshman Glee managers should do first, second, third, etc. Present and former Glee managers have often felt frustrated because they weren't sure what needed to be done, when it needed to be done, who should be responsible for it getting done, and, perhaps most important--how to do it! Your expertise is needed! I hope you will make every effort to attend and share your thoughts for the benefit of future Glees. Tim Leary, Director of Student Activities, and I will also be there. . Please contact Mrs. Harrison, President's Office (6209) and let her know whether or not you will be able to be present. I hope to see you there! / UNIVERSITY 1., , Office of the President 900 State Street Salem, Oregon 97301 (503) 370-6209 February 17, 1983 Mrs. Coralie Rhoten 680 Madronna Avenue, S. We hope you and your husband will be able to ]Oln us that evening as our guests. We would also like you to join us for a light supper prior to Glee, if you are available. Again, on behalf of Willamette University, we thank you for your willingness to help. A significant change is going to happen to Freshman Glee this year. You won't want to miss it!
